Booking Appointments

We remind and confirm booked appointments 2-3 days before. If we cannot confirm your availability within 24 hours of the scheduled time, the appointment will be cancelled and filled with a patient from our cancellation list. Please be certain we have up to date contact information.

Patients who require ongoing review by Dr. Francis will need re-referral from their family physician every 6 months. Some family physicians will do this electronically, however, we encourage all patients to continue to see their GP on a regular basis to ensure they continue to be closely involved in your child's care.

 

Cancelling or Rescheduling Appointments

Failing to show up for an appointment or cancelling at short notice leaves appointment times that cannot be filled, and increases the wait time for other patients. If you do not show up for your appointment or cancel without reasonable notice (less than 24 hours) or explanation, the referral will be returned to your referring doctor, and your child will need a new referral to be booked again.

VIRTUAL APPOINTMENTS

​In order to keep all of us safe and abide by BC Public Health Officer orders, some office appointments are scheduled virtually by "telehealth"  (videoconferencing or by telephone). Just like online shopping or email, telehealth has some inherent privacy and security risks that your health information may be intercepted or unintentionally disclosed. We are using a host of secure telehealth platforms including Medeo Video Visits, Zoom for Health Care, and Doxy.me. Medeo Video Visits requires you to set up a Medeo account. Sandy will send you an invitation to do so and provide any help you need. Doxy.me and Zoom work over the internet. For Medeo Video Visits and Zoom for Health Care, you will receive an email with the link for the appointment. For Doxy.me appointments, you should use the link below to check in for the appointment. If you have documents to share with us, contact our office ahead of time to get instructions on how to get them to us.

If you have concerns and would prefer not to be booked by telehealth, then please let the office know and we will arrange an in-person appointment. As per Provincial Health Guidelines regarding provision of essential medical care, if an in-person appointment is deemed necessary by Dr. Francis, we will schedule one for you, following our office COVID-19 policy to ensure your visit is as safe as possible.

  • ​Smart phones, tablets, laptops, and desktop computers all work well for virtual care.

  • If you are scheduled for a Doxy.me appointment, be sure to use GOOGLE CHROME as your browser on a desktop computer. On an Apple device, you should use SAFARI. For Medeo Video Visits, be sure you have set up your Medeo account. 

  • Check your settings to make sure your camera and audio are enabled on your device. The various platforms have pre-call tests.

  • Please try to be in a private, quiet space with minimal distractions.

  • This is your child's appointment, so do your best to have him/her/them present.

  • Consider writing down your concerns and questions before your appointment. Have any medications your child is on handy for review.

  • Please measure and record your child's height and weight as this is very useful for the doctor. How to measure at home link:

  • Log in 5-10' before your appointment. so you are in the virtual waiting room. If you have any difficulties, please call Sandy right away at 250-591-1906.

  • During the appointment, if Dr. Francis feels a physical exam is necessary, then she will make arrangements to see your child in person at a later date.

IN-PERSON APPOINTMENTS
  • Please use the BC COVID Self-assessment tool prior to your appointment. (https://bc.thrive.health/covid19/en).  If you answer yes to any questions, then please call to reschedule your appointment. Be assured that Dr. Francis and Sandy will be following the same self-assessment process, and will notify you if we have to reschedule.

  • ONE ACCOMPANYING ADULT ONLY. No extra people allowed in the office, including siblings, unless they are here for a joint appointment. If you have any difficulties obtaining child care or if other adults need to be a part of the appointment, please call.

  • Please check directions to our clinic and allow plenty of time.  Aim to arrive 5-10 minutes early to ensure you get the full time scheduled with Dr. Francis. If you arrive late, you will have less time for your appointment. If you are more than 10 minutes late, the appointment may need to be rescheduled in order to give your child an appropriate amount of time.

  • Upon arrival, call our office (250-591-1906) to let us know you are here, then WAIT IN YOUR CAR. Dr. Francis will let you in when ready. 

  • Caregivers and children over the age of 2 must wear a mask (unless you have a letter of exemption from a physician). If you do not have a mask, we will provide you and your child with one. Hand sanitizer is available for use on entry and exit from our office. 

  • ABSOLUTELY NO FOOD OR DRINKS to be brought in to the office. You may wish to bring your own toys or books as we will not have these available.

  • Keep at least 2m (6 feet) away from our reception staff at all times. Leave any documents or paperwork in our dropbox by the entrance.

  • For your reassurance and safety, we have a rigorous cleaning protocol between patients that meets BC COVID guidelines.

  • Your physical examination appointment will be kept brief to minimize in-person contact.
